We are excited to invite applications for the position of Administrative Assistant in the Tavares, FL area. **Position Overview**

As an Administrative Assistant, you will play a vital role in supporting the onsite Community Manager and the HOA office. Your responsibilities will include a variety of tasks such as customer service, scheduling, general office work, and assisting with internal office processes as directed by the Association Manager. We are looking for someone who is passionate about serving our community and who embodies kindness, professionalism, and a commitment to timely resolutions in every interaction. You will also uphold our promises to board members, homeowners, and fellow employees.

**Key Responsibilities**

*Administrative Support:*

- Assist and support the Community Manager as needed.
- Create, maintain, and enter information into databases.
- Utilize computers for various applications, including database management and word processing.
- Operate office equipment such as fax machines, copiers, and phone systems.
- Organize and manage both paper and electronic filing systems, ensuring accurate record-keeping.
- Maintain scheduling and event calendars.
- Compose, type, and distribute meeting notes, routine correspondence, and reports.
- Complete forms in accordance with company procedures.
- Conduct research to find necessary information using various sources, including the Internet.
- Review and proofread weekly newsletters, emails, and community announcements.
- Make copies of correspondence and other printed materials.
- Prepare materials for conferences or meetings, such as flyers and agendas.
- Provide services to residents, including issuing replacement remotes and decals.
- Schedule and attend New Owner Orientations as needed.
- Perform other duties as assigned.

*Customer Service:*

- Foster a positive and respectful work environment.

- Ensure all incoming phone calls are handled courteously and efficiently, with accurate message documentation.
- Assist the Community Association Manager (CAM) by acknowledging and responding to incoming calls as appropriate.

*Technical Support:*

- Provide computer and phone support.
- Assist with telephone systems and office safety awareness.
- Manage postage/mailing and records management.
- Ensure access to required systems.

**Physical Requirements**

- Ability to sit for up to eight (8) hours per day.
